Privacy policy

How we collect, use and protect your personal information.

Who we are

My Room in the Garden is a trading name of Boano Prismontas Ltd, a company registered in England and Wales (no. 10949499). Registered office: 64 Southwark Bridge Road, London SE1 0AS. We’re responsible for the personal information you share with us through this website, as its “controller” under UK data protection law.

What information do we collect?

When you ask for a quote or contact us: your name, email address, phone number, postcode or project address, how you heard about us, how you plan to use the space, your budget, and anything else you tell us about your project.

The questions marked as required on our quote form are the ones we need to reply to you. Without them we can’t prepare a quote.

When you book a call: your name, email address and the time you choose.

When you join our mailing list: your email address.

If you reached us through one of our ads or links, we save the campaign details from that link (for example, which ad you clicked) with your enquiry. To do this, the site keeps a note of them in your browser until you close the tab.

If you become a client: the details of your project, and photos and videos of your finished studio. We only show your name or review with your permission.

We never ask for payment details on this website.

How do we collect information?

Mostly directly from you — through our forms, by email and by phone.

We also collect a small amount automatically. Cloudflare Web Analytics gives us anonymous visit statistics (such as which pages are viewed and the type of device); it doesn’t use cookies or follow you across other websites. If you accept marketing cookies, the Meta pixel also records visits from our Instagram and Facebook ads.

We also count page visits and clicks on our own site, to see which pages help people get in touch and where the site could be easier to use. To tell one visit from another, our server turns your IP address and browser type into a scrambled code that changes every day. We never store your IP address, we never use the code to identify you, and it can’t be linked from one day to the next. While your tab is open, the site also keeps a note of the first page you visited and the website that sent you. You can switch these visit statistics off at any time in “Cookie settings”.

We don’t use session recording.

Why do we use your information?

To reply to your enquiry, prepare your quote, and design and build your garden studio — because you’ve asked us to, and to carry out our contract with you.

To run and improve our business: seeing which pages and ads bring enquiries, and keeping the site secure and free of spam — our legitimate interests.

To send our newsletter: if you joined our mailing list, with your consent; if you asked for a quote and left the newsletter box ticked, because we have a legitimate interest in telling customers about similar work. You can unsubscribe at any time.

To measure our ads with the Meta pixel — only with your consent.

To show our work: photos and videos of finished studios (without your name or address), and reviews you’ve agreed we can share — our legitimate interests, and your permission for reviews.

To meet our legal obligations, such as keeping financial records.

Who do we share it with?

We never sell your information. We share it only with the services that help us run our business, and only what they need:

Cloudflare — website hosting, security, spam protection, visit statistics, our mailing list and the AI tool described below.

Our enquiry management system, built on Supabase (your information is stored in Ireland) — where we keep and follow up enquiries.

Amazon Web Services (in the EU) — runs the AI assistant in our enquiry system (see “How do we store and protect your information?”).

Google Workspace — email, calendar and call booking.

Resend — emails your enquiry to our team, and your confirmation email to you.

Installers and subcontractors working on your project — your name and address, so they can plan and carry out the work.

Meta — only if you accept marketing cookies. Meta also uses this information for its own purposes, under its own privacy policy.

Cloudflare, Google, Meta and Resend are US companies and may handle your information in the US. These transfers are protected by the UK–US data bridge or by the UK’s approved contract clauses (the International Data Transfer Addendum). Our enquiry system (Supabase) and its AI assistant (Amazon Web Services) keep your information in the EU, which UK law recognises as giving the same protection. Where any other provider stores data outside the UK, it’s protected in the same way. Email us for details of the safeguard for any provider.

How do we store and protect your information?

Your information is stored with the providers above, protected by encryption and access controls, and only the people at My Room in the Garden who need it can see it. When you send an enquiry, an AI model run by Cloudflare reads your message to tag the topics it mentions (for example planning or plumbing), so we can see what people ask about. Only the tags are kept, not your message.

Our enquiry system also has an AI assistant (Anthropic’s Claude, run by Amazon Web Services in the EU) that helps our team summarise enquiries and plan follow-ups. Before your notes and emails reach it, your name, contact details and address are replaced with codes; quotes and specifications we’ve prepared for you are sent as they are. Neither AI tool keeps your information or learns from it, and neither makes decisions about you — our team does.

How long do we keep it?

Enquiries that don’t go ahead: up to 2 years after we were last in touch. This includes our emails and call bookings about your enquiry, and the few details our marketing statistics keep with it (such as the area of your postcode, your budget and how you heard about us).

Clients: 15 years after your project is complete, so we can deal with any warranty or building defect claims. This covers your contract, drawings, contact details and payment records.

Mailing list: until you unsubscribe. After that we keep only your email address and the date, so we never add you again by mistake.

Backups: deleted information can stay in our backups for up to 30 days before it’s overwritten.

Visit statistics: the daily code can’t be linked to you once the day is over, so what we keep after that is anonymous.

After that, we delete it.

How do we communicate with you?

We’ll contact you by email or phone about your enquiry, your quote and your project. We’ll only send our newsletter if you’ve joined our mailing list, or asked for a quote and left the newsletter box ticked. Every newsletter has an unsubscribe link.

How do we use cookies?

Cookies are small files stored in your browser.

Essential cookies keep the site secure and remember your cookie choice. They’re always on.

Marketing cookies (the Meta pixel) show us how our Instagram and Facebook ads perform. They only run if you accept them.

Our visit statistics come from Cloudflare Web Analytics and our own visit counts. Neither uses cookies. Our own counts keep a short note in your browser (the first page you visited, the website that sent you and any ad link details) that’s deleted when you close the tab. They’re on unless you switch off “Visit statistics” in Cookie settings (or choose “Reject all”).

Project videos come from YouTube (Google). They only load when you press play, and Google may then store its own cookies.

You can change your choice at any time with the “Cookie settings” link at the bottom of every page.

Your rights

You can ask to see the information we hold about you, correct it, delete it, limit or object to how we use it, or receive a copy to take elsewhere.

Where we rely on your consent, you can withdraw it at any time — for cookies through “Cookie settings”, and for newsletters through the unsubscribe link or by emailing marketing@myroominthegarden.com.

We’ll reply within one month.

If you’re unhappy with how we’ve handled your information, please tell us first at hello@myroominthegarden.com. We’ll acknowledge your complaint within 30 days, look into it and tell you the outcome. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy

We’ll update this policy when the way we handle your information changes, and show the date of the latest version at the top of this page.
